Event Manager

The Event Manager is responsible for planning and executing a variety of events that highlight Destination Madison to various audiences including partners, clients, and community members. This person will be a part of the Brand team and will work across multiple departments to create memorable experiences that align with Destination Madison’s brand, mission, and strategic goals. The selected candidate will have the opportunity to apply their creativity, communication, and organizational skills to ensure successful events and attendee satisfaction.

Duties and Responsibilities

  • Create and/or manage the budget, timeline, program, and task list for Destination Madison hosted events
  • Lead event planning and production meetings, working within Destination Madison’s project management system
  • Work cross-departmentally on event needs including event concept, sponsorship, and marketing
  • Serve as an internal expert on event logistics, best practices and strategies. Advise other departments as necessary to ensure standardized practices across the organization
  • Manage all internal, pre-event planning, as well as on-site event execution including:
    • Securing volunteers and managing the staff and volunteers working at the event
    • Creating run-of-show and securing speakers and entertainment, as needed
    • Identifying and confirming event venues and working directly with the venue on all logistics including venue layout, seating arrangements, audio/visual, catering, etc.
    • Overseeing all event contracts and leading vendor negotiations
    • Organizing and managing the invitation, attendee communication, registration and check in
    • Managing follow-up with vendors, sponsors, and staff members post-event
  • Other duties as assigned

Desired Education & Experience

  • Bachelor’s degree in Event Management, Communications, Recreation Management or a related field with four years of professional experience in customer-facing roles; or equivalent combination of education, experience and training
  • Familiarity with Madison area hotels and venues
  • Previous experience with CRM database, project management software, event registration software and Microsoft Office Suite
  • Certified Meeting Planner (CMP) or Certified Special Events Professional (CSEP) designation is a plus

Work Environment & Job Specifications

  • Primarily perform work in our downtown Madison office, with flexibility to work remotely based on job duties and current organizational policies
  • Occasionally move around the office and access or use computers, office equipment, telephone, and any other pertinent supplies, space or equipment used to perform the duties of the position
  • Work with frequent interruption and sit for long periods of time
  • Lift and/or move up to 10 pounds and occasionally move up to 35 pounds
  • Occasional evening and weekend work required for travel, events and organization functions.
  • Site visits and client tours require moving about the community – including pedestrian travel – to view various facilities and amenities
